30 Days with Office 365 for Educators - Day 19

This post will explore a few ways that you can use your Office 365 account (beyond email) in a typical day. In the simplest form you can simply upload and download documents to and from your OneDrive account. You can treat OneDrive as a storage space just like you would a USB drive.

This method fits the Substitution level of the SAMR model. Even though this use is pure Substitution it can still be very valuable for an individual’s workflow. Having a document available in the cloud however is a paradigm change from the traditional way we have worked with documents in the past. It takes a little imagination but the more you work with Office 365 the more possibilities you will discover for your everyday workflows.

SAMR Model – A Brief Explanation
I have talked about the SAMR model before on this blog. If you want to learn more about the SAMR model of Substitution, Augmentation, Modification, and Redefinition applied to educational technologies I have provided a link below.



In the education field, Ruben R. Puentedura, Ph.D. has developed the SAMR model of technology integration that provides a framework for educators to assess and evaluate technology use in the classroom.

Here is a quick overview of the four categories of the SAMR Model: 

Substitution – Tech acts as a direct substitute, with no functional change 

Augmentation - Tech acts as a direct substitute, with functional improvement

Modification - Tech allows for significant task redesign

Redefinition – Tech allows for the creation of new tasks, previously inconceivable 
The first two categories of Substitution and Augmentation are enhancements.  
The second two categories of Modification and Redefinition are transformations.

As an educator I want to go BIG and transform the learning experience for our students with new and improved tools that were previously unavailable. Office 365 provides an exciting new tool-set for educators to explore at the Modification and Redefinition levels of SAMR.

SAMR in Action with Office 365 Online Apps
Imagine being a teacher and working on a Word document at school and then needing to edit the document at home. Not a problem, most teachers have a laptop where the document is locally stored, but what if you forget your laptop at school?

Of course, you could also copy the file to a USB drive and transport it back and forth between school and home but you are still susceptible to forgetting the USB drive, or losing it! One solution for this scenario is to upload your documents to OneDrive.

In the above example you have Substituted the use of OneDrive by putting your document in the cloud instead of on your USB drive. You still have access to your document and you have used OneDrive as a substitute for your USB drive.

But, by storing your files to OneDrive instead of your USB drive you have also Augmented your ability to access your files in the cloud from anywhere in the world! All you need is your Office 365 account and an Internet connection.

With your files stored in the cloud you have now opened up the possibility for Modification of your workflow. You can easily share selected OneDrive files with other Office 365 users. This is a significant improvement for those that collaborate with you. Others you share with will be able to see your most recent edits that you have made to your documents. You also do not have to juggle multiple copies of a document that you have stored on your laptop, or did you save the most recent copy to your USB drive? Always up-to-date!

Finally, you have opened the door to Redefinitionby making possible the previously impossible. Office 365 online apps support the ability to have multiple people edit the same document at the same time!

Co-authoring has been available for some time now with Office 365 online apps as well as Google Docs. Having the ability to share a document with others while giving them editing rights redefines the way we can use Office 365.

These sharing possibilities offer unprecedented access to files and all should follow standard Information Technology protocols for data and privacy protections. Be sure to follow you organizations policies and procedures and contact your IT department if you have questions. I have said this before regarding cloud services, with great power comes great responsibility.

ALWAYS Sign-Out of your Office 365 when you are finished using it! Your username and password are the keys to your account, get in the habit or protecting your account by always signing out.

Imagine
Imagine being able to collaborate with others in real-time on the same document. You can assign each person a section of the document that they are responsible for and the entire group can be editing at the same time. Oh, and by the way, they could be located anywhere in the world!

Or, imagine students working on a group project. A student can create a master Word document online and share it to other members of the group. The owner of the document can then assign editing rights to each member of the group. The group members could work together on the master document as each member had time throughout the day, or set a scheduled editing time to synchronously edit in real-time!

Do you see why I think Office 365 is such a big deal? Office 365 is a game changer for educators and students. Teaching with technology is not just doing the same things differently, it is about doing different things to improve learning that were impossible to do without technology.

With Office 365 you can now stop imagining and start doing.... different things.
